You no longer need to send job applications by mail or take them to companies. Everything can be done online without meeting face to face. Although it seems easy, there are some things that sometimes take time, such as scanning.

Therefore, it's a good idea to prepare the documents before applying for a job. So that when you find a suitable vacancy, you are ready to send the required documents. Here are the documents that you must prepare when applying for a job online.

1. Curriculum vitae (CV)

A curriculum vitae or commonly abbreviated as CV is the most basic document that needs to be prepared. Compared to other documents, CV is the main document that recruiters look at.

Some things that must be included in the CV are personal data, email address, telephone number, educational history, work experience, and skills possessed. Recruiters do not have much time to pay attention to one by one CV of applicants. Therefore, make your CV as concise and attractive as possible.

In addition, it's a good idea to make at least two different CVs. If you are pursuing several different positions, but still related to the same discipline, you can use the same CV.

If you're targeting a more specific position, it's a good idea to create a relevant CV using the terminology typically used in the job.

2. Cover letter

Your CV cannot explain why you want the job and why you feel you are a good fit for the position and work for the company. However, a cover letter can make it clear that you are the best candidate for the job.

Cover letters don't need to be long – three paragraphs should suffice to make your point. Start with an introduction, telling how you found out about the vacancy. Explain why you are interested in the job. Then describe evidence that your education, skills, and work experience are a good match for the job. Close the letter with a thank you letter and provide your contact details.

3. Personal data form from the company

The form will be provided from the company to you. Usually you will only be asked to fill in basic information, such as personal data, education history, occupation, health, and salary expectations.

Not all companies have this procedure, but there is a possibility of this as one of the conditions for applying for a job from the company being applied for. Double check vacancies and check your email regularly and thoroughly. Don't miss it and don't fill it up.

4. Certificate or description of skills required by the company

If you have sufficient skills and the company requires it, proof of certificate can help to prove it. However, do not be careless in choosing a certificate, just attach a certificate that is relevant to the field of work you are applying for.

For example, you are applying for a language field or a foreign company. You can attach a certificate that shows your foreign language skills such as TOEFL or IELTS for English or JLPT for Japanese.

This certificate can be from academic or non-academic fields. Collect all the certificates you have, make copies and as evidence, then attach them with other job application documents.

5. Portfolio

Portfolios are very helpful to show your skills at work. Attach examples of jobs you've done such as design, writing, projects, or anything else that fits the job you're applying for. Optimize portfolio function to differentiate yourself from other candidates.

If you've never worked, this doesn't mean you can't create a portfolio. Gather documentation of your skills that can be a selling point. If you have a blog or YouTube, attach any posts or videos you've written to let recruiters know your skills.

Double-check what documents are needed. Usually, the company will tell you what is needed. In addition, before sending these documents, you should remember that all the information attached is the result of your hard work. Never falsify any information about your qualifications. Whether it's about your education, work experience, or abilities.

If someone provides false information, the opportunity to work in that position may be lost. When starting and managing human resources in a company, standardization of capabilities is the key to achieving organizational goals.

To optimize the quality of human resources in the company, this must not only be controlled by human resources (HR).
